When Vacation Planning Becomes a Full-Time Job – Without the Perks

You want a vacation.
You know — sun, wine, horizontal lounging, maybe a little adventure, and a healthy dose of “life is good.”
But suddenly, you find yourself deep in the black hole of comparison sites, 27 hotel tabs open, four flight price alerts set up, and an Excel sheet called “Planning_Final_Actual_ver4.”

You're not exactly sure when it happened, but somewhere between googling "best small towns in Tuscany" and comparing Airbnb prices across three tabs, you realize:
"This isn’t vacation planning. This is logistics on the scale of a small wedding."

Slightly irritated, it dawns on you: your dream trip is starting to feel more like organizing a 10-day corporate retreat — where you're not just the project manager, you're also the accountant, activity coordinator, and, naturally, the tour guide.

A week later, you've done more research than you did for your entire undergraduate thesis. You’ve read blogs, listened to travel podcasts, found Excel templates (!) for weighing vacation costs —
And what has your partner done?

Nodded supportively and said they "trust you completely." They’re “happy with whatever” and think you “seem a bit stressed” (when really you’re just trying to understand why the train from Naples to Amalfi somehow takes nine hours).


But breathe....... It is possible to make the planning part less painful — maybe even fun.

1. Set boundaries — for yourself

Decide on a budget. Pick two destinations, not twelve.

Stop tweaking when it feels 80% right.


Perfect is a myth (and a trap).

2. Actually share the work

Not “I’ll research everything and you just say yes.” Actually divide the tasks. Make it a game: points for whoever books the hotel, finds the best pizza spot, or deciphers the local bus timetables. Winner gets to pick the first dinner location.

3. Remember: It will be fine

Every trip has its chaos moments.
The important thing is not fighting over who forgot to book the rental car while sweating in a 100-degree parking lot.
Whatever happens — you’ll make memories. (And great stories.)

4. Create a shared vision

Talk about what you want the trip to feel like.


How do you want both the planning and the vacation itself to feel, if everything goes perfectly?


Having a shared vision makes it easier to pull in the same direction and make decisions that fit.

5. Set a hard stop on planning

Something like: “We’re done by Thursday night. Period.”


No more googling or tweaking after that — and make it into a game if you want.


Sure, you can change little things later, but the big plan stays locked.

Be strict about it.



6. Leave space — and let go

Make room for spontaneity!
Leave empty spots in the plan and call them “free time for magic.” Maybe you’ll stumble on a local festival, a secret beach bar — or just take a nap in the middle of the day and love it. Sometimes the best moments come when you’re doing absolutely nothing — preferably in a swimsuit.
